Emails, SMS and Save the Date

This feature enables users to send invitations, save the dates, and e-mail messages and push notifications to attendees.

Step by step guide

How do I send a personalized email?

A: To send a personalized email you need to click PEOPLE> COMMUNICATION> SEND E-MAILS & SMS.

           

There are two options when you want to send emails:

Option 1- Sending emails to all participants of your event.

Option 2- Sending emails to selected participants of your event.

How do I send an email to all participants of my event?

A: To send an email you need to click on EMAILs> NEW EMAIL. Next, type in the subject title of the email, finishing this step by clicking CREATE.

How do I write the custom email?

A: Simply click on the email that has been created from the previous question. You will arrive at the page to modify and customize the email. To start typing, click on ‘Your email contents here’.

                      

The email feature has additional useful tools under ‘Dynamic Content’ and ‘Dynamic Links’ that will prove useful.

‘Dynamic Content’ enables each email that is sent out to have a unique text. For instance, the InEvent platform can detect the names of the registrant, so each email that is sent out will have the recipient’s personal name on them should the option be selected depending on their information.

 

‘Dynamic Links’ are website links that will appear on the email when they are sent out. These are links that can lead individuals to various locations related to the event. For instance, it can send users to the registration form or the hotsite, among other options available.

How do I add images or other blocks of text?

A: Simply click on the ‘Text block’ or ‘Image block’ under Elements on the Left Sidebar, and move them around as you see fit.

Can I view my email before it is sent?

A: Yes, the InEvent platform allows previewing emails before they are delivered. Just click the blue button under Controls on the left sidebar that says ‘Preview’ to receive the created email sent to the event organizer or user’s registered email. This step is optional, but encouraged.

                                                     



If you are satisfied with how it looks after previewing (optional),  click on ‘Send email’ to deliver it to all participants.

If you would like to delete your email, just click the button ‘Delete Email’.

How do I send an email to only a few participants?

A: To send an email to only a select few of your event’s attendees, you first need to create a list made up of only those you want to receive the email.

To create a new list, on the main ‘Send email and SMS page’ you need to click on Information> New list> Name the new list, and click Create.

Next, locate your list on the sidebar to the left of the page in the dropdown menu under All attendees (default) or another list, and select the one you just created.

To add participants, click on ‘People’ in the left sidebar of the screen, 2nd option under the list name. Next, you will see a list of people who are attending your event. Drag the person on the left list (All Attendees to your event) to the right list (Attendees you want to add to this list) to select them in order to send messages specifically to them.

                                                                             

To create the new email for select people, click emails> new email and type in the title of your email, followed by using the Create button. Note that your new email is being sent only to the list of people you just created.

 

How do I write my custom email?

A: To write your email, you need to simply click on ‘Your contents here’ to start typing your message, the same answer applies to the question ‘How do I write the custom email’ above’.

Can I view my email before sending it?

A: Yes, the InEvent platform allows previewing emails before they are delivered. Just click the blue button under Controls on the left sidebar that says ‘Preview’ to receive the created email sent to the event organizer or user’s registered email. This step is optional, but encouraged. Click on ‘Send email’ when you are satisfied and ready to send the select participants the message. ‘Delete email’ should you see fit.

Can I send a push message to participants of only one activity?

A: Yes, you can send messages to participants attending a specific activity. This can be done by clicking on  "Agenda"> "View activities". Next, click on the desired activity on the screen, followed by scrolling down towards the bottom and then clicking  "Send Message" and typing in the box below it. The message can be up to 140 characters long.

 




How do I send a messages to all event attendees?

A: To send a message to all participants of the event, just click on “Event"> "Configuration"> "Set details". Then click on the Send Message button on the top left of the screen. The message can be up to 140 characters long.




NOTE : When sending push messages (of up to 140 characters), do not use special characters such as:

  • "quotation marks"
  • ‘Apostrophes’  
  • Backslashes \
  • Line breaks _
